EP.29: How to Create Systems for Your Personal Training Business: Tips and Strategies

Andrew: Hello, and welcome to Fitness Marketing Blueprints, the podcast where we help fitness professionals like you market themselves and grow their businesses. I'm your host, Andrew, and today we're going to talk about the importance of systems for personal trainers. Specifically, we'll be discussing how to create systems for your personal training business, with tips and strategies to make the process easier and more effective.
[Music fades out]
Andrew: If you're a personal trainer who's been in the business for a while, you know that it can be tough to keep all the balls in the air. You're juggling client sessions, marketing, social media, accounting, and more. It can be overwhelming, but the good news is that creating systems for your business can make all the difference.

[Tip of the Week Music]
Andrew: But first, let's start with our tip of the week. Today's tip is to start small. Creating systems for your business can feel like a big project, but it doesn't have to be. Start with one area of your business that you feel needs more structure, like your client intake process or your social media posting schedule. Once you've got a system in place for one area, you'll be motivated to keep going and create more.

[Tip of the Week Music Fades Out]

Andrew: Now, let's dive into our main topic. As a personal trainer, you may be used to operating on a day-to-day basis, without a lot of structure or systems in place. However, implementing systems in your business can help you save time, improve client results, and ultimately grow your business.
First of all, they help you stay organized. When you have a system in place for everything from scheduling client sessions to tracking expenses, you'll feel more in control of your business.
Secondly, systems save you time. When you have a process for everything you do, you won't waste time figuring out what to do next or how to do it. You'll be able to move from task to task more efficiently.
And finally, systems help you provide a better client experience. When you have a structured client intake process, for example, you'll be able to gather all the information you need to create a personalized training plan. Your clients will appreciate the attention to detail and the fact that you're taking their needs seriously.
So, how do you create systems for your personal training business? Here are some tips for creating systems for your personal training business:

Number one, identify your pain points. What areas of your business feel disorganized or chaotic? Where do you feel like you're wasting time?
Start with those areas and create systems to address them. Delegate tasks when possible. As your business grows, you may need to hire additional staff to help you manage your workload. When delegating tasks, be clear about expectations and provide training to ensure consistency in your systems.

Number two, identify your key processes. What are the steps involved in onboarding a new client, conducting a fitness assessment, scheduling client sessions, posting on social media, designing a workout plan, or tracking progress? Write down each step in detail, and create checklists or templates to help streamline the process. Having these processes documented will make it easier to create systems around them.

Number three, use technology to your advantage. Automate what you can! There are a lot of tools out there that can help you automate tasks like scheduling appointments or posting on social media. Find the tools that work best for you and your business, and incorporate them into your systems. Look for opportunities to streamline your processes and save yourself time.

Finally, regularly evaluate and adjust your systems. Your business will evolve over time, and your systems should evolve with it. Take the time to reflect on what's working well and what could be improved, and make adjustments as needed.

Creating systems for your personal training business may take some time and effort upfront, but the long-term benefits are worth it. By streamlining your processes, you'll be able to focus on what you do best - helping your clients achieve their fitness goals.

[Q&A Music]
Andrew: And now, it's time for our Q&A session. This week's question comes from Rachel in London. Rachel asks, "How do I know if a system is working for my business?"
Great question, Rachel. The best way to know if a system is working is to track your results. If you've implemented a new system for your client intake process, for example, track how many clients you're bringing in and how satisfied they are with the experience. If you've automated your social media posting, track how much engagement you're getting on your posts. If you're seeing positive results, keep the system in place. If not, tweak it or try something else.

[Q&A Music Fades Out]
